We want you to understand what happens to information you share with Facet. Website inquiries and a practice’s clinical records serve different purposes. This policy explains both, and points you to the agreements that govern the clinical application.
1. What this policy covers
This policy explains the information handled through facetmed.ai and describes how that differs from information a dental practice processes using the Facet application. References to “Facet,” “we,” and “our” refer to the team providing these services.
A practice’s use of the clinical application is also governed by its agreement with Facet, the application Terms of Service, the application Privacy Policy, and, when applicable, the Business Associate Agreement. This website policy does not replace those agreements or a dental practice’s patient privacy notice.
2. Information we collect
When you request a demo, we collect the name, email address, and practice name you enter. If you contact the team, we also receive the information in your message and any subsequent correspondence.
Hosting and network providers can process technical information needed to deliver and protect the website, such as IP addresses, request times, browser information, and requested pages. Please do not put patient names, recordings, health information, or other clinical records into the demo form or email.
3. How we use website information
We use inquiry information to respond, arrange demonstrations, discuss your practice’s needs, and follow up about Facet. Technical information supports website delivery, troubleshooting, and protection against abuse. We may also use relevant records to meet legal obligations or resolve a dispute. A demo request does not create an account, begin a subscription, or authorize processing patient information.
4. Service providers and disclosure
We use service providers to operate the website and deliver messages. Current website infrastructure includes Render for hosting, Cloudflare for domain and network services, and Resend for demo-request email delivery. Inquiry information is sent to the Facet team through the configured email service. Providers receive information needed for their role in delivering the service.
We may disclose information when required by applicable law, to protect the website and its users, or as part of a business transaction subject to appropriate arrangements. A practice website linked from our site operates independently and has its own privacy practices.
5. Clinical information belongs in the practice workflow
The clinical application processes practice and account information, appointments and patient identifiers, recordings, transcripts, draft notes, periodontal measurements, and integration information, depending on the features used. It uses infrastructure, transcription, AI, payment, and optional practice-management providers to deliver those features.
When Facet handles protected health information on behalf of a healthcare customer, the practice determines the authorized purpose and its patient-record obligations. The practice’s agreement and applicable business associate terms govern that processing. Patients should direct requests about their treatment records to their dental practice. See data handling and security for the processing overview.
6. Cookies and website technology
This version of our marketing website does not include advertising pixels, analytics scripts, or a marketing cookie consent tool. Website delivery and protection still involve technical network requests and logs. Interactive features, such as the demo form, process the information you choose to submit.
The separate clinical application has its own browser-storage and account-session requirements. Your browser can restrict cookies and clear stored site data. For more information, visit Privacy choices.
7. Retention
We keep inquiry and correspondence information as needed to handle the request, maintain the business relationship, meet legal requirements, and protect our services. Retention can vary by the type of record and the provider involved. Clinical information follows the practice’s agreements and record obligations; this policy does not set a universal deletion deadline for patient records or backups.
8. Security
We use technical and organizational measures designed to protect information and restrict access to service operation and support. No website or transmission method can guarantee absolute security. Avoid sending sensitive clinical information through the public website or ordinary email. Contact us if you believe information has been shared inappropriately.
9. Your choices and requests
You can ask the Facet team about information provided in an inquiry, request a correction or deletion, or ask us to stop marketing follow-up. Rights and exceptions depend on applicable law and the nature of the record. We may need information to verify a request and prevent unauthorized disclosure.
For clinical records, contact the practice responsible for your care. Practice administrators can use the app’s support and privacy channels for requests covered by their agreement.
10. Children
The public website and demo form are intended for dental professionals and people evaluating Facet for a practice. They are not intended for children to submit personal information. Pediatric clinical records entered by an authorized practice are handled under the practice workflow and agreements.
11. Changes to this policy
We may update this policy when our website, services, or processing practices change. The date at the top identifies the current version. Material changes to practice agreements are handled through the applicable agreement and application process.
12. Contact
For privacy questions or requests, email privacy@facetmed.ai. You can also reach the team at liam@facetmed.ai. Do not include patient information in your message.
